Connecting Minds and Institutions: Support to the SomaliREN Annual Gathering
Event coordination and partnership outreach for SomaliREN's most globally connected gathering yet, bridging Somali academia with international development partners.
From the engagement
PhotographyIn 2024 SomaliREN held its Annual Gathering in Nairobi, bringing representatives of Somali universities and research institutions together to exchange ideas, strengthen collaboration and set direction for digital education. For the first time the gathering also set out to expand SomaliREN's strategic partnerships with regional and global institutions. Veynuus supported both sides of that: the operational delivery of a three-day event held outside the country, and the outreach that brought international partners into the room.
The challenge
There remains a significant gap between high-impact local institutions and the development partners who are looking for credible, scalable actors to work with. Organisations like SomaliREN drive innovation and education reform consistently, and are still not always visible to regional or global funders and allies. The gathering was an opportunity to close some of that distance, but only if the invitations reached the right institutions and the event they arrived at justified the attention.
Holding the gathering in Nairobi solved some problems and created others. It made attendance practical for international institutions and for delegates who would have faced difficulty travelling to Mogadishu. It also meant coordinating a multi-day event in another country for delegations arriving from across Somalia, with accommodation, movement and on-site logistics all handled remotely from the delegates' point of view. Twenty or more universities were represented, each sending people who needed to arrive, be housed and be looked after.
The dual purpose raised the design stakes further. A members' meeting and a partnership platform are not the same event. Members come to discuss internal priorities in detail; prospective partners come to assess whether an organisation is worth engaging. Running both in the same programme requires the internal business to be visible enough to be credible without turning the gathering into a session outsiders cannot follow.
Our approach
Veynuus took responsibility for logistics and venue management across the full event, so that SomaliREN's own leadership could concentrate on the substance and on the relationships the gathering existed to build. Hotel bookings and delegation assistance were handled for attendees, which for visiting delegations is the difference between arriving ready to work and arriving having spent a day solving arrangements that should have been made for them.
Partner outreach was approached as a considered exercise rather than a mailing. The team facilitated invitations to key institutions including the World Bank, the African Development Bank, IOM, the EU Delegation to Somalia and UNESCO. Invitations at that level succeed or fail on framing: the recipient needs to understand quickly what the organisation is, why the gathering is relevant to their own programme, and what attending would put them in a position to consider.
Veynuus also supported SomaliREN's leadership directly in stakeholder engagement. Getting senior representatives into a room is the easier half; using the time well is harder, and it depends on the host knowing in advance what each guest is likely to be interested in and what specifically to ask them. Preparation of that kind is what converts attendance into a follow-up conversation.
Professional photography and videography ran throughout, treated as an asset-building exercise rather than as event coverage. An organisation working to raise its visibility with international partners needs material that shows it convening seriously, and that material has a longer life in proposals and institutional communications than it does in any post-event summary.

What delivery looked like
Delivery covered three days of event support. Logistics and venue management ran end to end, with full coverage of the operational side: the venue, the room setups, the movement between sessions and the supporting arrangements that a multi-day programme accumulates. On-site coordination managed the flow of activities so that the programme kept its shape as sessions ran long or arrangements shifted.
Delegation assistance ran alongside, covering hotel bookings and the practical support that attendees from more than twenty universities needed while away from home. Photography and videography were produced across the gathering, and the partner invitations extended to more than five global institutions were followed through to attendance rather than left at the point of dispatch.
Throughout, Veynuus worked to keep SomaliREN in front of its own event. Where a supporting firm becomes the visible operator, the host loses some of the standing the gathering was meant to build. Coordination was handled so that the organisation's leadership was the party present in the conversations that mattered.
Results
The 2024 SomaliREN Annual Gathering achieved more than convening its membership. Twenty or more universities were represented, more than five global institutions were invited into the gathering, and three days were delivered with full logistics coverage for one milestone event.
The gathering became a starting point for wider collaboration and visibility, laying groundwork for stronger connections between Somali academia and global research and development networks. Whether those connections mature is not something an event can determine on its own, but the introductions were made under conditions that gave them a reasonable chance.
What this engagement shows
Part of Veynuus's purpose is to help raise the visibility, credibility and influence of local change makers. Somali institutions doing serious work are frequently unknown to the partners best placed to support them, and that gap closes through specific acts, an invitation framed properly, a gathering organised to a standard that survives outside scrutiny, rather than through general advocacy.
The engagement also illustrates why logistics belong in a strategic communications mandate. The impression an institution makes on a prospective partner is formed partly by whether the event ran well. Treating accommodation and coordination as separate from positioning misses how the two are read.
